Build training that sticks
Create modules with text, images, and video. Add quizzes. Chain modules into learning paths. Award certificates. Track who's completed what.
The training data model
Three concepts to know:
- Module — A standalone piece of training. Has lessons (text, images, video), an optional quiz, and an optional certificate.
- Quiz — Multiple choice, true/false, or open-ended questions. Auto-graded for objective questions.
- Learning path — An ordered sequence of modules. Staff complete them in order. Useful for onboarding ("Week 1 modules" → "Week 2 modules" → final assessment).
Step 1 — Create your first module
- Go to Manage → Training
- Click New module
- Enter a title (e.g. "Customer Greeting Best Practices")
- Add a description (1–2 sentences shown in the module list)
- Pick a category (Onboarding, Compliance, Product, Service, etc.)
- Pick an audience — All staff, or specific roles/locations
Step 2 — Add lessons
A module has one or more lessons. Each lesson is a small unit of content. Click Add lesson:
- Title — Short, action-oriented ("Greet within 10 seconds")
- Body — Rich text editor; paste images, embed video, add bullet lists
- Video — Embed from YouTube, Vimeo, or upload directly (Pro+)
- Image — Drag-and-drop or upload
Repeat for each lesson. 3–5 lessons per module is the sweet spot. Long modules drop completion rates.
Step 3 — Add a quiz (optional)
Quizzes verify the staff member actually engaged with the content:
- Click Add quiz at the bottom of the module
- Pick a question type:
- Multiple choice — pick one or many correct
- True/false
- Open-ended — manager grades manually
- Set the passing score (default 80%)
- Choose retry policy: unlimited retries, or N attempts then notify a manager
Step 4 — Add a certificate (optional)
For compliance training (food safety, harassment prevention) or skill-completion milestones:
- Toggle Issue certificate on completion
- Customize the certificate template (your logo, signature, validity period)
- Staff get a downloadable PDF + a record on their profile
Step 5 — Publish
Click Publish. The module is now live for the audience you set. Staff see it in their staff portal under Training. Until you publish, it's draft-only.
Step 6 — Build a learning path
Once you have 3+ modules, chain them:
- Go to Manage → Learning paths (Pro tier and above)
- Click New path
- Name it ("New Hire Onboarding")
- Drag modules into order
- Set completion rules (sequential vs any order)
- Pick the audience
- Publish
Step 7 — Track progress
Open Manage → Training → Progress. The dashboard shows:
- Completion rate per module across all staff
- Per-staff completion (who's behind on what)
- Quiz scores and retry counts
- Certificate issuance history
Filter by location, role, or date range. Export to CSV for performance reviews or compliance audits.
Step 8 — Send completion reminders
Staff with overdue modules get a notification automatically based on your Settings → Training → Reminder cadence. You can also manually nudge from the progress dashboard:
- Filter for Status: Not started or In progress
- Select rows
- Click Send reminder
Content patterns that work
Onboarding path
5–7 modules across day 1 / week 1 / month 1. Welcome video → store policies → product knowledge → POS/clock-in walkthrough → customer service basics → a final quiz.
Product knowledge
One module per product line. Short lessons (60s reads or 90s videos), then a 5-question quiz. Refresh quarterly when products change.
Compliance
Annual modules with mandatory passing score and certificate. Track expiration dates so staff retake before they lapse.
Soft skills
Short reinforcement modules (3 min) that staff revisit. Use the Tips & Best Practices feature in parallel for crowd-sourced peer knowledge.
Common issues
"Module not appearing for some staff"
Audience targeting. Check the module's audience matches the staff member's role and location. Or the module is still in draft.
"Video won't embed"
Use the YouTube/Vimeo embed code, not just the URL. For uploaded videos, check file size limits on your plan.
"Certificate PDF blank"
Logo or signature image isn't loading from your settings. Verify the URLs in Settings → Branding and re-issue.
